EVENT & FIELD TRIP COORDINATOR

Job purpose

  • To coordinate and support the planning and implementation of school activities and programs, ensuring effective collaboration among relevant stakeholders and smooth execution in line with the school's objectives.

Key Responsibilities

  • Plan and coordinate school events, field trips, co-curricular activities, and clubs.
  • Develop and maintain activity schedules in coordination with Principals and relevant departments.
  • Coordinate with teachers, internal departments, external agencies, and other stakeholders to ensure smooth implementation of activities.
  • Manage event and field trip logistics, including venues, facilities, transportation, supplies, and safety requirements.
  • Prepare, monitor, and track budgets and expenses for events and field trips.
  • Coordinate teachers and schedules for co-curricular activities and clubs.
  • Monitor the implementation, attendance, resources, and overall effectiveness of activities.
  • Conduct post-event/field trip evaluations and prepare relevant reports and documentation.
  • Build and maintain relationships with external agencies and service providers.
  • Attend meetings, school events, and field trips as required and provide support to other departments when needed.

Job Requirement:

Education & Experience

  • Bachelor’s degree in Education, Business Administration, Event Management, Hospitality, or a related field.
  • At least 2 years of relevant experience in event coordination, school activities, field trips, program coordination, or a related field.
  • Experience working in a school or international education environment is an advantage.

Skills

  • Strong organizational and time management skills, with the ability to manage multiple tasks and deadlines.
  • Strong communication and stakeholder coordination skills.
  • Good planning, problem-solving, and decision-making skills.
  • Proactive, detail-oriented, and able to work independently or as part of a team.
  • Good command of English, both written and verbal (B1+ or above).
  • Proficient in Microsoft Office, Microsoft Teams, SharePoint, and Outlook.

This job description will be reviewed periodically and updated as necessary to meet the operational needs of the school.
