Job purpose
The Academic Affairs Executive supports the daily operations of the Academic Office, ensuring smooth coordination among academic teams, students, and school leadership. The role involves academic administration, student affairs coordination, documentation, and direct
support to the Middle School Principal. This position also includes development as a TA Trainee to gain hands-on experience in classroom support and teaching assistance.
Duties and responsibilities
Academic Administrative Support (50%)
Assist in documenting and following up on student discipline cases, community cases, and Student Council matters.
Support the planning, logistics, and execution of school trips, after-school clubs, assemblies, and student events.
Help coordinate residential life logistics (check-ins, inventories, reporting, and student movement records – if applicable).
Prepare meeting minutes, academic reports, data entry, and proper filing of student academic and behavioral records.
Handle general administrative tasks such as drafting communications, updating databases, scheduling, and coordination with departments.
Perform other tasks assigned by the Dean’s Office or Academic Leadership to support school operations.
Assistant to the Middle School Principal (30%)
Provide administrative and operational support for Middle School academic activities.
Assist with timetables, academic calendars, curriculum documents, and teacher coordination.
Support communication between Middle School teachers, students, parents, and other departments.
Help track academic performance, assessment schedules, and classroom documentation.
Coordinate MS events, meetings, and professional development activities.
TA Trainee – Teaching Assistant Development (20%)
Support teachers in classroom activities, small-group instruction, and student supervision.
Assist in preparing learning materials, resources, and classroom setups.
Participate in TA training sessions to improve instructional support skills.
Help reinforce English usage and proper classroom habits for students.
Observe experienced teachers and actively improve teaching-support techniques.
Job Requirement:
Job specifications
Education
Bachelor’s degree in education, English, Business Administration, Psychology, or related field.
Requirements
• 0–2 years of experience in education administration, teaching support, or school operations preferred.
• Strong organizational and administrative skills.
• Good communication in English & Vietnamese.
• Ability to multitask and coordinate across multiple stakeholders.
• High attention to detail and accuracy in documentation.
• Proficiency in Microsoft Office and basic data management.
• Positive attitude, teamwork, and willingness to learn.
• Ability to work with students in a supportive, professional manner.
